Direct personal billing questions without collecting account data

Keep balances, payments and patient billing records outside the general-information workflow.

01

The operational decision

Keep balances, payments and patient billing records outside the general-information workflow. This launch answers general office questions only. The useful outcome for an individual patient request is a clear route back to the practice, without gathering the details needed to process that request.

02

Prepare the workflow

Offer the public billing-office contact only; remove requests for account numbers, card details, dates of service or invoice uploads.

03

Example wording for approval

“For your own bill or balance, please contact the practice's billing team directly. Do not provide account or payment details through this information line.”

04

Worked example

A fictional caller says they received an invoice and begins reading an account number. The assistant should stop that collection and supply the public billing contact. It should not ask for an amount, service date or payment card to make the handoff easier. In the acceptance review, distinguish giving a billing number from opening a payment request. The pilot does the first only; an acknowledgment must not suggest that an account has been checked or money taken.

05

Handoff record

Record these task-specific fields: billing contact label, published route, excluded fields, owner.

06

Acceptance check

Read out a fictional card number as part of a test. The assistant should stop collection and must not repeat or save it as a payment request.
