Inventory phone lines before changing forwarding

Avoid changing a line whose current role is not understood.

01

The operational decision

Avoid changing a line whose current role is not understood. A small pilot should prove one defined answering task before broader forwarding changes. Write down the normal phone arrangement so the team can restore it without reconstructing the setup from memory.

02

Prepare the workflow

List public line labels, existing destinations, forwarding controls and the staff owner; record the original configuration before any change.

03

Example wording for approval

“For this test, only the labelled office-information route changes. The practice's patient contact arrangement remains documented separately and must be checked by its owner.”

04

Worked example

A fictional office has a main patient line, a business administration line and an unused marketing number. All three appear in a provider dashboard with similar labels. Before configuring the information pilot, reconcile the number and current destination for each. Ask a second staff member to verify the selected line from an external call. Saving a screenshot of a provider control is useful only when the line's purpose and original restore destination are recorded alongside it.

05

Handoff record

Record these task-specific fields: line label, existing destination, control owner, restore setting.

06

Acceptance check

Ask another staff member to identify the route being changed. If they cannot distinguish it from the patient line, stop the configuration work.
