The operational decision
Make it possible to explain and reverse a factual correction. An answering assistant needs a controlled set of office facts. More uploaded material is not automatically better: old instructions and internal documents can make a public answer less reliable.
Prepare the workflow
Record the previous wording, replacement, reason and effective time; avoid keeping copies of real conversations merely to document a content edit.
Example wording for approval
“Version two corrects the example parking entrance from Pine Street to Oak Street. The older wording is retired and should not appear in a new answer.”
Worked example
The fictional office changes its entrance description after new signage appears. Version one says rear door; version two says Visitor Reception on Oak Street. Keep the reason and effective date with the new wording so the next editor understands why the change occurred. If the signs are removed, staff can assess a rollback using that history. A version log that contains only edited today cannot explain the factual decision or establish which answer callers were supposed to hear.
Handoff record
Record these task-specific fields: old version, new version, change reason, editor.
Acceptance check
Ask the same directions question before and after a controlled update. Confirm the new version is consistent and the previous wording can be identified for rollback.
