Give temporary hours an expiry date

Stop a short staffing adjustment from becoming the permanent published schedule.

01

The operational decision

Stop a short staffing adjustment from becoming the permanent published schedule. An office-hours answer is a public operating fact, not evidence that a clinician can see someone. Keep the opening schedule separate from appointment availability, telephone staffing and the building access schedule.

02

Prepare the workflow

Record the last effective day and the schedule to restore; make the restoration an assigned task rather than an assumption.

03

Example wording for approval

“The example office uses these shorter public hours through Friday. For a later date, please check the practice's current notice or contact the office.”

04

Worked example

The fictional office closes at 3:00 for one staffing week and returns to 5:00 the following Monday. Store both the exception's end and the restoration task. On Monday, ask what time the office closes and inspect the public page as well as the call answer. If one still says 3:00, the change is incomplete. The operator should fix the shared fact source instead of adding another contradictory note to the script.

05

Handoff record

Record these task-specific fields: temporary period, restored schedule, expiry check, editor.

06

Acceptance check

Ask about a date after the exception expires. The response must not continue repeating the temporary schedule as a standing rule.
